Taxpayers understand that there’s something they owe to the government in return for the employment opportunities and services they receive. However, the moment a tax-related form comes into the picture, one feels they are at sea. 

The Form 16 is one such document. Everybody has heard of it, but very few understand how it truly works or how to utilise it. This article focuses on navigating the maze that Form 16 seems like. 

What is Form 16? 

Form 16 is the Tax Deducted at Source (TDS) certificate issued by your employer when they deduct tax.  

It demonstrates your financial accountability as an individual earning in India and is issued by employers as proof of tax deductions at source. Downloading or obtaining Form 16 is important for tax compliance, as it helps streamline the income tax return process. 

Issued as per Section 203 of the Income Tax Act of 1961, Form 16 is divided into two separate parts: Part A and Part B. 

  • Part A has to do with the summary of TDS 
  • Part B reflects the detailed breakdown of exemptions, deductions, and more 

Therefore, the form is a confirmation that the employer deposited the TDS with the Income Tax Department appropriately. It provides a comprehensive income and tax summary, ensuring a seamless and accurate filing experience. 

Note: Under Section 395 of the new Income Tax Rules, 2025, which become effective from the Tax Year 2026-27, Form 16 shall be renumbered as Form 130. This means that for income earned until FY 2025-26, Form 16, as we know it, shall be applicable.

  2. Find the “Downloads” section on either of these websites. Form 16 is usually listed under this category.

  4. Choose between the 'PDF' and 'Fillable Form' options. 
  5. Click your preferred option to initiate the download.

Key Components of Form 16

While understanding Form 16, it's important to break down its core components. Here's what you'll find in Form 16: 

Part A 

Part A of Form 16 provides comprehensive details regarding Tax Deducted at Source (TDS) from your salary. Here's a list of the major components: 

  • Employee and Employer Details: Employer's name, address, Permanent Account Number (PAN), and Tax Deduction Account Number (TAN) 
  • Assessment Year: Reflects the year for which tax is calculated based on the previous year's income. 
  • Period of Employment: Specifies the duration of your employment during the financial year. 
  • Net Income Breakdown: Highlights gross salary, incentives/perks, deductions, and net salary. 
  • TDS Summary: Provides detailed insights into TDS from your salary. It also reflects the date of deduction, the amount of TDS, and the date of deposit with the government. 
  • Challan Identification Number (CIN): Unique ID assigned to the challan used for TDS deposit with the government. 

Part B 

Part B, as an annexure to Part A, provides a detailed structure of your salary, offering an accurate breakdown of the following components: 

  • Gross Salary Components: Unveils the complexities of your salary structure, including basic salary, house rent allowances, transport allowance, and more. 
  • Deductions under Chapter VI-A: Outlines tax-saving deductions under the old tax regime, such as investments under Section 80C and 80CCD, health insurance premiums (Section 80D), education loan interest (Section 80E), and charitable donations (Section 80G). 
  • Total Income: Summarises the income on which taxes are calculated, providing a comprehensive overview.

How to Get Form 16 from the Employer? 

Employers are mandatorily required to provide Form 16 if the TDS has been deducted from your salary.  

  • Request Your Employer: Reach out to your employer and request Form 16. They are obliged to provide it to you. 
  • Verify Personal Information: Ensure all personal information, such as your name, address, and PAN, is accurately mentioned in Form 16. 
  • Gain Clarity: Know the details listed in Part A and Part B of the Form 16 provided by your employer. Understand what each figure denotes and whether the deductions align with legal rules. In case you note discrepancies, connect with your employer for clarity. 

If you’re switching jobs or working with multiple employers during a year, it’s essential to collect Form 16 from each of your employers/workplaces for record-keeping.  

How to Get Form 16 for Previous Years? 

When looking to download Form 16 for previous years, the process involves directly approaching your employer and using online payroll platforms.  

  • Contact Your Employer: Collect Form 16 for the required years by placing a request with the employer. 
  • Online Payroll Platform: Check your employer's outsourced payroll platform, where you can log in using the IDs provided by your employer. Form 16 may be readily available online for your convenience. 

Difference between Form 16, Form 16A & Form 16B 

Unless you’re a tax professional, every tax-related form feels like rocket science.

Filing Income Tax Returns with Form 16 

Filing income tax returns is a necessary process when you are working in a government or a private organisation. Users can do it independently or through their employers, either online or offline.

Here’s how you file your income tax returns with Form 16 online: 

  • Step 1: Collect Required Documents 

Gather these documents before you get started: 

  • Form 16 from your employer 
  • Form 26AS 
  • Your salary slips and investment records 
  • Deductions enjoyed under Sections 80C, 80D, and others 
  • Interest certificates on secured loans (wherever applicable) 
  • Step 2: Fill Out the ITR Form 

Log in to the e-filing portal and choose the correct ITR form. If you’re a salaried individual, you can select from ITR-1 or ITR-2. Fill in the required details on the form and make sure they match the details provided on Form 16. 

Include income details from Part B of Form 16, such as: 

  • Exempt allowances 
  • Gross salary 
  • Interest from savings accounts 
  • Step 3: Enter TDS and Other Deductions 

Enter a range of TDS details as required on the form, such as: 

  • Name and TAN of the employer 
  • TDS deducted from you and deposited 
  • Investments in NSC 
  • Premiums paid toward medical insurance 
  • Interests paid toward loans and more 

Ensure there are no discrepancies or inconsistencies across multiple TDS forms. 

  • Step 4: Calculate Liability 

Compute the tax liability, generate a Challan 280, and pay any additional charges that may be pending. 

  • Step 5: E-Verify Details 

Finally, you can e-verify your returns through an Aadhaar authentication method or send a signed copy of your filed ITR to the Income Tax Department’s processing centre in Bengaluru.

For those opting for the offline method, connect with a tax professional or the tax office closest to your location. The tax professional will assist you in e-filing or submitting your ITR.
